Privacy Policy — Hotel Job Indonesia

Last updated: 29 September 2025

Welcome to Hotel Job Indonesia (“Hotel Job,” “we,” “us,” “our”). We respect your privacy and are committed to protecting personal data shared with us. This Privacy Policy explains what we collect, why we collect it, how we use and share it, the choices you have, and how to contact us. By using https://hoteljob.id and related services (the “Service”), you agree to this Policy.

0) Who We Are & Our Role

Hotel Job Indonesia is a job information platform dedicated to hospitality and tourism vacancies across Indonesia, including hotels, restaurants, and related businesses. We are not a recruiter, employment agency, labor supplier, or employer of record. Applications should be sent directly to the hiring hotel/company as stated in each vacancy. We publish job information and related content to help candidates and employers connect, including via our website and social media channels. This clarification affects how personal data flows: we process information needed to operate our platform, while employers independently process candidate data they receive through their own channels.

1) Definitions

  • Personal Data: Information identifying or reasonably linkable to an individual (e.g., name, email, phone, IP).
  • Sensitive Personal Data: Special categories (e.g., health data, religious beliefs) requiring heightened protection.
  • Processing: Any operation performed on data (collection, storage, use, disclosure, deletion, etc.).
  • Controller: The party deciding purposes and means of processing (for the Service, Hotel Job).
  • Processor: A party processing data for the Controller under instruction (e.g., hosting, email, analytics vendors).
  • User: Site visitor, registered candidate, employer, or other person interacting with the Service.

2) Scope

This Policy covers Personal Data processed when you browse the site, create an account, post or apply for jobs, contact support, join job alerts, interact with our social media widgets, or otherwise use the Service. It does not apply to employer systems or third-party websites you visit from our listings (they have their own privacy policies). If an employer asks you to email them or submit via an external ATS/career site, their policy governs that submission.

3) What We Collect

3.1 Data You Provide

  • Account & Profile (candidates/employers): name, email, phone, username, password, company/hotel name, role/title, logo/photo, location, short bio, and optional links (website, social).
  • Job Posts & Company Pages (employers): job titles, descriptions, locations, salary ranges (if provided), application instructions (email/URL), contact person, brand assets.
  • Applications (directional): Our listings instruct candidates to send applications directly to employers via the contact email or external link provided in each post. If you send us materials by mistake, we may forward or delete them securely per your instruction.
  • Communications: inquiries, support requests, or feedback (message content and attachments).
  • User-Generated Content: comments on articles, testimonials, reviews (publicly visible).
  • Media Uploads: images/documents you attach to profiles, posts, or messages.

3.2 Data Collected Automatically

  • Device & Logs: IP address, timestamps, user agent, referrer/exit URLs, pages viewed, errors, and basic device data.
  • Cookies/Local Storage: to keep sessions, remember preferences, secure accounts, and measure usage.
  • Analytics: aggregated metrics about traffic sources, navigation paths, and engagement to improve the Service.

3.3 Data from Third Parties

  • Social & Sharing: if we offer social login or share widgets (e.g., LinkedIn/Instagram), those platforms may provide limited profile/engagement data per their settings.
  • Security/Spam Filters: signals used to detect abuse, malware, or fraudulent behavior.

4) Why We Process Data

  • Operate the Platform: run the website, enable registration/login, post jobs, and display company pages.
  • Match & Discovery: help users find relevant jobs or companies and help employers reach candidates.
  • Communications: send service notices (account, security, postings), respond to messages, and provide job alerts you opt into.
  • Personalization: remember preferences and recommend content based on activity.
  • Safety & Integrity: monitor, prevent, and respond to spam, fraud, or misuse; enforce terms.
  • Analytics & Improvements: analyze usage to maintain performance, usability, and quality.
  • Legal/Compliance: meet legal obligations, handle disputes, and comply with lawful requests.

5) Our Platform vs. Employers’ Processing

Hotel Job publishes vacancy information and facilitates discovery. Employers are independent data controllers for any applications or communications you send to them directly. We do not control how employers process your CV/resume or handle hiring decisions. Review each employer’s privacy policy and terms before applying. If you have privacy requests regarding data held by an employer, contact them directly. If a request concerns data we control (e.g., your site account), contact us as described in Section 15.

6) Sharing & Disclosures

  • Service Providers: hosting, security, email delivery, analytics, backup/storage, and similar vendors under confidentiality and data-protection commitments.
  • Employers/Agencies: only as necessary for job listing publication or when you choose to contact/apply to them (usually outside our platform, per job instructions).
  • Legal: to comply with laws, regulations, subpoenas, court orders, or to protect rights, safety, and property.
  • Corporate Events: if part or all of our business is transferred, data may be included with appropriate safeguards and notices.
  • Public Content: comments, company descriptions, and employer logos/profiles are visible to visitors.

We do not sell or rent Personal Data for third-party marketing without your explicit opt-in.

7) Cookies & Similar Technologies

  • Essential: session/login, csrf/security, load balancing.
  • Preferences: saved filters, language, layout.
  • Analytics: aggregate measurement (e.g., page views, navigation).
  • Marketing: if enabled, to measure social/traffic campaigns; consent may be requested where required.

You can manage cookies in your browser; blocking some cookies may affect features like login, job alerts, or posting.

8) Data Retention

  • Accounts: retained while active; upon deletion or inactivity, we remove or anonymize where feasible, subject to legal retention.
  • Job Posts & Company Pages: retained for publishing history, audit, and to deter fraud; stale posts may be archived or marked closed.
  • Logs/Security: kept for a reasonable period to investigate incidents and maintain platform integrity.
  • Legal/Tax: certain records may be retained to meet statutory requirements.

9) Security

  • Transport encryption (TLS/SSL), hardened infrastructure, and regular patching.
  • Access controls, least-privilege permissions, and authentication safeguards.
  • Monitoring & backups to detect anomalies and support recovery.

No online system is perfectly secure, but we apply reasonable measures aligned with industry practices.

10) Your Rights & Choices

  • Access/Portability: request a copy of Personal Data we hold about you.
  • Rectification: update inaccurate or incomplete information.
  • Deletion: request deletion, subject to legal/operational limits.
  • Restriction: ask us to limit processing in certain circumstances.
  • Objection/Opt-out: object to marketing or certain processing; unsubscribe from emails at any time.
  • Complaint: lodge a complaint with a relevant data authority.

Requests relating to data held by employers should be directed to those employers (see Section 5).

11) Children’s Privacy

The Service is not intended for individuals under 13 (or the age required by your jurisdiction). If we learn a child provided Personal Data, we will delete it promptly.

12) International Transfers

Where data is transferred across borders (e.g., to service providers), we apply appropriate safeguards consistent with applicable law (contractual protections, technical and organizational measures).

13) Automated Recommendations/Profiling

We may use limited profiling (e.g., recommending content based on your activity). You may opt out of non-essential personalization where offered, or contact us to object where applicable law provides.

14) Third-Party Links & Social Media

Vacancy posts often include third-party links (employer sites, ATS portals, email addresses) and may embed social features. Those third parties collect and use data under their own policies. Review them before submitting information.

17) Indonesia-Specific Notes

This Policy is designed with Indonesian practice in mind. For comprehensive compliance (e.g., UU ITE, PP 71/2019, and the Personal Data Protection framework), we recommend maintaining a bilingual version (Bahasa Indonesia & English) and documenting data-processing records, breach procedures, and vendor agreements.
