Human Resources Coordinator Role, Responsibilities, and Qualifications

As a Human Resources Coordinator, your main responsibility is to provide administrative and operational support to the HR department. You will be responsible for assisting with recruitment efforts, onboarding new employees, maintaining employee records, and providing support for HR programs and policies.

Duties and Responsibilities of an HR Coordinator

    • Attend meetings on behalf of the HR Manager as required.
    • Assist in organizing staff social programs, hotel events, and partner activities.
    • Compile payroll and absence data.
    • Coordinate and prepare HR statistics and dashboards.
    • Coordinate staff food festivals and entertainment programs.
    • Coordinate daily staff transportation to and from staff accommodation.
    • Assist staff and management with HR-related inquiries.
    • Update salary and allowance information.
    • Develop job descriptions, shortlist, interview and select candidates, and prepare personnel files.
    • Assist in developing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures, and absence management.
    • Help employees identify specific behaviors that contribute to service excellence.
    • Conduct on-the-job orientation for new employees.
    • Assist with internship or training programs, ensuring all interns receive needed support.
    • Manage HR administration for new hires and exiting employees.
    • Complete monthly and bi-weekly documents for submission to the payroll team.
    • Ensure the latest and most accurate information is entered into the human resource software.
    • Assist with employee relations issues in a confidential manner, including discipline, complaints, and capabilities.
    • Ensure the recruitment and selection process is followed and all relevant immigration checks are carried out.
    • Manage HR administration such as contracts, letters, and personnel files.
    • Fully utilize the HR system, including running payroll, processing status change requests, and other amendments as needed for HR Director approval.
    • Maintain the HR email account and ensure prompt responses.
    • Analyze staff turnover and sick leave to implement reduction strategies.
    • Assist the HR Manager in budget preparation and monitor all budgeted positions.
    • Build and maintain a group of contacts with hospitality colleges to manage recruitment for entry-level jobs.
    • Fully coordinate work visas, renewals, medical visas, and cancellations with the PRO Team.
    • Ensure compliance with all HR laws and remain up-to-date with changes to local regulations.
    • Provide staff counseling, guidance, and career planning; supervise disciplinary issues and any complaints made.
    • Support the hotel with departmental training requirements, including induction, work experience, career exhibitions, and training materials.
    • Ensure confidentiality is maintained at all times.
    • Know and follow the Health & Safety at Work Act and comply with hotel health & safety policies.

Prerequisites
